Booking Policies

Booking Policies and Deposits:

If you are seeking information about the ranch or answers to questions, please email or give us a call. If you are ready to book, please ask for our booking form and we will email it to you. Reservations are confirmed upon receipt of a 50% deposit, with the balance due on the day of your departure from the ranch. We accept personal checks, money orders, wired funds, and major credit cards. A processing fee of 3% will apply to all credit card charges. A State of Montana accommodations tax is charged at $60 per person per week. Gratuities are appreciated at the customary rate of 15-20%. For more information on pricing, please visit our rates page.

Cancellation Policy:

If you must cancel your reservation and do so by March 1 of the year booked, then 1/2 of your deposit will be refunded (provided you paid the full deposit). The other 1/2 of your deposit will be forfeited, OR you can choose our rollover option in lieu of a partial refund.  We will do a one-time roll over of the deposit to the following summer if you let us know by March 1 of the year booked. After March 1, however, both the partial deposit refund and the rollover option are forfeited if you wish to cancel your reservation.

We strongly encourage you to purchase trip insurance to cover any contingencies on your end.  While we have sympathy for family situations and injuries that may arise, causing you to want to defer your vacation, it is entirely your choice to insure against that risk or not. Should you decide not to purchase trip insurance but then wish to cancel or defer your trip after March 1, please be aware that your deposit will be forfeited. Also, any cancellation within 21 days of the start of your scheduled stay at the ranch requires you to pay the balance of your stay.

There are no refunds or cancellations for any events beyond our control, such as inclement weather, smoke from wildfires in the west, Covid or other illness, airlines or other transportation delays, and so forth. However, if the Ranch has to cancel your stay due to a wildfire, flood, government restriction or other event that temporarily prevents our ability to operate, then we will roll over your deposit to the following year regardless of the proximity of your stay.

A number of companies offer travel insurance, so please feel free to contact any of them. Travel Guard is an associate member of the Dude Ranchers’ Association and can be contacted at www.travelguard.com, and reference policy number 109400. Please ask about the Dude Ranch protection plan. Other trip insurance carriers also provide coverage. Travel insurance generally has to be purchased early and may not be available for purchase right before your trip.

Please call or email and we will be happy to discuss special requests, lodging preferences, and travel plans.
